Meeting Minutes

February 7, 2008

Attendance: Paul Hezseltine, Mogie DeMann, Mindy Wankier, JennyLyn Little, Maryann Christensen, Kelli Summers, Lloyd Jones and Angela Knudson

Introductions – Paul Hezseltine

Review and acceptance of minutes – No minutes from previous meeting were available for approval.

Club Business

District 1 Report, Paul Hezseltine reported for Orden Yost on UYSA District 1. There has been discussion at the State level to change some of the districts based on travel issues for the younger players and lower division teams. This would realign districts geographically. It was suggested that Park City could be dropped from District 1 and add Sparta. Paul stated this was one of the ideas and nothing at this point had been decided. Paul announced the UYSA AGM will be held on Feb. 29th & Mar. 1st at Juan Diego High School. Mindy Wankier and Paul Hezseltine plan on attending the meetings.

Director of Coaches, Mogie DeMann had no updates to report.

Treasurer, JennyLyn Little wanted to remind the teams that team fees were due by Feb. 21st and teams could bring their checks to her at the our AGM.  Angela Knudson is to send out a reminder to the coaches & team managers for fees. JennyLyn said that she will mostly likely step down from her position as Treasurer by the end of May or possibly sooner due to her move. She will update us when it gets closer.

VP of Uniforms and Equipment, Maryann reported on uniforms, vendors and costs. Maryann brought book samples of some of the choices for new uniforms. Adidas & Nike both had limited choices and limited availability with color (Orange); the color availability is only guaranteed through mid-2009. Score brand has more uniform choices for a longer time frame. Score is manufactured in California and will guarantee uniforms colors and types even if the Manufacturer discontinues the product in their catalog. This would help in not worrying about colors or uniform types for new players and replacement uniforms. Maryann stated the availability, costs and quality of Score is comparable &/or better than Nike and Adidas. It was also discussed that each brand/manufacturer provides donations to tournaments as Diadora has in the past. It is about $1500 whether it is a cash donation or in the form of credits to be used. Maryann said that she liked Team Gear and Score based on the ease and convenience in ordering and not worrying about backorders that we have experienced in the past and difficulties with current distributor. The board discussed the pro/cons of new distributor.

Paul Hezseltine motioned that we change to Team Gear for our new distributor for uniforms. Second by Mindy Wankier, the board members voted unanimously for Team Gear.

Director of Fields, Kelli Summers reported that she has submitted fields for Murray Max. She has asked that teams stay off of Willow Pond. There is damage to these fields and they need to be repaired. Murray Park & Rec will be taking down the goal posts and putting up signs stating the fields are closed. The teams that were using those fields have been relocated to the Ice Rink Field (Salt Lake County) in Murray Park. Due to the relocation of these teams; it was discussed that we need to purchase a set of goals for the Ice Rink that can be moved. Kelli and Mogie will work to get pricing and availability for new goal posts and bring recommendations to the board for a vote.  Murray Max received money back from District 1. It was discussed that we may use part of that money to help and work with Murray Parks & Rec in repairing the field. One option was donating sod to put down on one field. Angela will get pricing and bring back to the next board meeting.

VP of Boys and Girls, Angela Knudson & Mindy Wankier discussed their plans for the upcoming AGM for Murray Max. The Club will be awarding players in the Club at the AGM and the response by coaches, parents, players and board members has been great.

Angela motioned the board for monies up to $500.00 for expenses for printing costs, trophies and refreshments related to holding the AGM. Second by Mogie, the board members vote unanimously for monies for AGM.

Director of Risk Management, Lloyd Jones will review incorporations and conflict of interest documents for our filing of the 501c3.  Paul will do the two year budget and then file the 501c3. Paul also discussed the importance of filing and how it provides legal benefits and protection to the board members, the members of the Club and its volunteers. In addition, it was discussed that there is a need for new first aid kits. The teams should have these at practices and games.  Angela will send out e-mail to coaches who need refills or for new coaches who need a new kit. Orden will coordinate with TOSH.

Trainers – Paul said that new trainer should be in the Utah around the March 22nd  or 23rd.  We have the opportunity to have a second trainer for the U13 teams and above. It was stated by Angela that it would provide good training for those teams. Mogie stated that most of these players have been paying into Murray Max the longest and should see some benefit for all the trainer fees they contributed for. Paul handed out a spreadsheet that showed the costs for the second trainer. To help minimize the cost if we could get a family to sponsor the second trainer; provide housing. It would bring our costs down. Paul mentioned that he is also working on getting vehicle/s for the trainers that would be donated. Is was discussed that trainers would work with the High School aged teams and again they have paid into Murray Max and most of the players do play one season of Murray Max and most of the High School players are made up of Murray Max players.

Paul motioned that the club hire a second trainer for U13 for the spring season and summer camp. Second by Mogie, the board members voted unanimously in favor of a second trainer.

Paul motioned to allow Murray High School Boys & Girls soccer team to access excess hours of the Club trainers for the use of training.  Second by Angela, the board members voted unanimously in favor of MHS teams training hours.

Due to time constraints Murray Max By-Laws review & approval has been moved to March meeting.

Meeting was adjourned by Paul Hezseltine.

Next Club meeting - March 13, 2008 at MHS – 8:00PM

Goal Posts:  Research by Kelli and Mogie

Report by Mogie:

Beacon Athletic is a company that Murray City has dealt with a lot.  They have high quality
products,  but are also very pricey(as per Murray City).   For one set (2 goals) the cost
for their 8x24 goals are just under $4,000. That does not include anchors or shipping.
They are also just  "moveable".  They have a hydraulic wheel that allows them to be rolled
a short distance.  For a long distance transportation it would be easiest to have a team
pick them up and move them, much  like the ones that were at the ice rink previously.

The second set, that looks good, is from Epic Soccer.  They retail for 1500 per goal but
are on sale right now for 800, meaning that we can have a set for $1600.   My first
question was why such a discrepancy in price.   Does that make them a cheaper quality
also.  On the website they have a picture of a 180 pound man hanging from the cross bar.
There is no sag in the bar. They look as sturdy as the goals from Beacon.  Unfortunately
there is not showroom nearby for either of these products to verify that.

To my knowledge, no money value was set for the purchase of the goals.
However, if they are to be here in time for our spring season use and the 6 teams that
are assigned to the ice rink, we need to purchase them quickly and can not wait until the
next board meeting for financial approval.

Murray High and Murray City are purchasing the set from Beacon for the
Murray Park field for this spring.  They were debating the same as we were. I directed
them towards that set.

I propose that we as a club purchase the set from Epic Sport.   After
purchase of goals, anchors and shipping we should still be under $2,000. This way we
will be able to see the quality of both of these items side by side as we make decisions
in the future for possible tournament goal sets.

Motion to purchase EPIC goal set: Mogie

Second: Kelli

Discusion:

I vote that we get the more expensive set with wheels or ones that we can put wheels on and not waste our $2000 unless you know of some one who has used them and thinks they are good enough to handle the abuse they will get on that field – Orden
